Primer
🎓 How the SmartTools actually work.
🔗 SmartLinks
System tokens like @NAME@ or @VS@ that pull live data from the chart. Typed with @ on both sides.
💬 SmartPhrases
Your reusable blocks of text, triggered by a period + short name, e.g. .ros. Can contain SmartLinks, SmartLists and wildcards.
📑 SmartLists
Click-to-pick option lists embedded in a phrase, e.g. {Improved/Unchanged/Worse}.
✳️ Wildcards
Free-text stops. After inserting a phrase, press F2 to jump between each ***.
🧱 Putting it together
A good SmartPhrase mixes all four: SmartLinks do the data entry, SmartLists capture structured decisions, and wildcards mark where your judgment goes. Open the Builder to assemble one, or load a template and edit it.
🏗️ Build & save your own in Epic — step by step
SmartPhrases and SmartLists only work once you create and release them in your own Epic — that is why a pasted {SmartList} can show as plain text. Here is the workflow (training environment shown).
Open the SmartTool editors
From the top toolbar: More ▾ → Personalize → SmartTool Editors, then choose an editor.
Open SmartPhrase Manager
SmartTool Editors → SmartPhrase Manager. It opens at the User level and lists your phrases.
Click + New User SmartPhrase
Start a fresh phrase at the User level (your personal phrases).
Name it — this is the trigger
The Name becomes your .dot trigger (e.g. pedsconsult → typed as .pedsconsult). Add a short Description.
Build the body
Type or paste the template text, then insert tools: SmartLinks @TOKEN@, wildcards ***, and SmartLists {…}. Tip — assemble it in the DotPhrase Builder, then paste it in.
Release & accept
Pick the sharing level (User / Department / …), then Accept. Confirm the Released? column is ticked — an unreleased phrase will not resolve.
Use it in a note
Type . followed by the name and press Enter; press F2 to jump through each ***.
New User SmartList
SmartTool Editors → SmartList, then + New User SmartList (or search your existing ones).
Add choices, name it, set options
Type each option under Choice (star a Default?). In Settings set a Name (required — red ! if blank) and a Display Name; tick Include as label to print the label. Choose Selection Type Single or Multiple, and make sure Released + Reselectable are on (Optional = may be left blank).
Accept & note the ID
Accept to save, then note the SmartList's ID. Reference it inside a SmartPhrase as {SmartList Name:ID}.
